How do I set-up and manage appointment time slots that have been marked as by approval only?

This article will explain how to set-up appointment times, that require your approval prior to a representative being able to book an appointment.

Please note when creating a appointment time that requires approval you will need to log onto RxTro and approve the representatives appointment requests prior to the representative being able to make an appointment.

Creating an Appointment Time that requires Approval

RxTro also allows you to set up an appointment time that will require a rep to ask for approval to make an appointment with the clinic. Clinics typically use this to reserve a time that is specifically for - 

  • New Product Launches
  • New Product Indications
  • Updates to treatment guidelines

To set up an appointment that requires approval -

  1. Follow steps 1-6 in How do I set up available appointment times?
  2. Select Approval Required from the approval status drop-down menu.
  3. Click Add

Approving requests to make an appointment

When a representative requests to access a time slot that has been made available on an approval only basis, you will first be notified of this request via email. On receiving this notification -

  1. Log-in to RxTro.
  2. The pending requests for approval will be found under the future appointments tab, under the heading:
    1. “Representatives who have asked for access to appointment times that need approval”
  3. To approve the request, click on the actions button next to the representative’s name and select approve or reject.
  4. Approving a rep will give them permission to make one appointment at a time that suits during a timeslot that has been nominated as by approval.

  5. Once they have completed their appointment they will need to request permission again to book a second appointment during the nominated time.

    1. Please note they do not need to request approval for any appointments that have not been set up as “by approval”.
